Privacy Policy

BrewVoice is an AI voice agent operated by The Brew Apps ("we", "us"). Businesses use BrewVoice to answer inbound calls and to follow up with people who ask to be contacted. This policy explains what personal information we handle, why, and what you can ask us to do with it. It also covers our SMS/text messaging program.

Who is responsible for your information

BrewVoice is used by businesses (our "customers") to communicate with their own contacts. When a business uses BrewVoice to call or message you, that business decides why you are being contacted and is the controller of your information; we act as their processor and handle it on their instructions. If you want your information corrected or deleted, contacting that business directly is usually fastest, but you can also write to us at contact@thebrewapps.com and we will pass the request on and act on it.

For our own customers' account information, meaning the people who sign up for and administer a BrewVoice account, we are the controller.

Information we handle

Contact details. Name, phone number, mobile number and email address, together with any notes attached to a record. This reaches us either because a business uploads or syncs it from their own systems, or because you submitted it yourself, for example on a lead form attached to an advertisement or when you opt in to receive text messages.

Calls. Phone number, call time, duration and outcome. Where the business has enabled it, calls are recorded and transcribed, and the transcript is analysed to summarise what was discussed and what was agreed. Where the law requires notice or consent before recording, that is the calling business's responsibility, and BrewVoice can be configured to disclose at the start of a call that you are speaking to an AI agent.

Messages and SMS opt-in data. Acknowledgement, transactional and follow-up text messages, and their delivery status. Where you opt in to receive text messages from a business using BrewVoice, we also hold your mobile number and a record of that consent, including when and how it was given and when it was withdrawn.

Appointments. Booking details when a call results in an appointment, written to the calendar the business has connected.

Account and usage information. For account holders: name, email, sign-in records, and basic product analytics such as pages visited and features used.

We do not ask for, and BrewVoice is not intended to collect, payment card numbers, government identifiers, or health, financial or other special category information. Please do not share these on a call.

Information from advertising and CRM platforms

Where a business connects a platform such as Meta Lead Ads, Google Sheets, HubSpot, Salesforce, Zoho, Pipedrive or Freshsales, we receive the contact details that the person submitted or that the business already held, typically name, phone number and email address, plus the answers to the form's own questions.

For Meta Lead Ads specifically: when someone submits a lead form on a Facebook or Instagram advertisement, Meta notifies us and we retrieve that submission so the advertising business can respond quickly. We request only the permissions needed to read lead submissions and to keep that notification active. We do not post to any Page, read messages or posts, or access advertising accounts, and we never write data back to Meta.

A business can disconnect any of these integrations at any time from their BrewVoice settings, which stops further data reaching us from that platform.

How we use information

We use the information above only to:

We do not sell personal information, and we do not use the contents of calls, messages or contact records to train our own or any third party's general-purpose AI models.

Who we share it with

We share information with the service providers that make a call possible. Each is bound by contract to use it only to provide their service to us:

We also share information with the business that is contacting you, and with any CRM or calendar that business has connected. We may disclose information if the law requires it, or to protect our rights or someone's safety. If our business is sold or reorganised, information may transfer as part of that transaction.

No sharing of mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

International transfers

We and our providers operate in the United States and other countries, so your information may be processed outside the country where you live. Where required, we rely on appropriate safeguards such as the European Commission's standard contractual clauses.

How long we keep it

We keep contact records, call records, recordings and transcripts for as long as the business's account is active, or for as long as that business instructs us to. When an account is closed we delete or anonymise the information within a reasonable period, except where we must keep it to comply with a legal obligation or to resolve a dispute. Records of a do-not-contact request are kept for longer, because deleting them is what would allow the contact to resume.

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, to have it corrected or deleted, to object to or restrict how it is used, to receive a copy in a portable form, and to withdraw consent you previously gave. You can exercise these rights by writing to contact@thebrewapps.com, and we will respond within the period the applicable law allows.

You can ask to stop being contacted at any time. Tell the agent during a call, text STOP to +1 (617) 507-3368, or email us. To start receiving SMS messages again, text START to +1 (617) 507-3368. We will record the request against your number so it is honoured on future campaigns.

Because we often act on a business's behalf, we may need to forward your request to that business and let them respond. We will tell you when we do.

If you are in the EEA or the UK, you also have the right to complain to your local data protection authority.

Security

Access to customer data is restricted to those who need it, credentials for connected accounts are stored encrypted, and access to our systems requires authentication. No service can promise perfect security, but we work to protect information in transit and at rest and to detect problems quickly.

Children

BrewVoice is a business tool and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has been contacted or their information submitted, write to contact@thebrewapps.com and we will delete it.

Changes to this policy

We may update this policy as the service changes. The date at the top shows when it was last revised, and we will tell account holders about material changes.
